About Mesa
Mesa Consulting helps performing arts organizations and live events grow audiences and sell tickets through digital advertising, creative production, and marketing technology.
We're seeking an exceptionally organized, personable, and proactive Agency Project Manager to coordinate client work from request through delivery—and fully own the project management system that makes it happen.
About the Role
Your mission is to keep client work organized, moving on schedule, and clearly communicated.
You will connect our clients and internal team: capturing requests, planning assignments, routing materials, tracking progress, coordinating approvals, and delivering completed work. Clients should feel well cared for, and team members should always know what they need to do next.
You will also own our project management architecture. Beyond maintaining tasks, you will build and improve the structures, templates, workflows, dashboards, and automations that support reliable delivery across our client portfolio.
This role focuses on project management, client service, and operational execution. You will coordinate with the specialists and managers responsible for marketing strategy, creative direction, and advertising performance.
What You'll Own
- Project management architecture. Build, maintain, and improve account structures, project templates, task dependencies, approval stages, dashboards, and recurring workflows. Establish clear standards and guide the team in using the system consistently.
- Project planning and delivery. Translate client commitments and requests into actionable work plans with defined deliverables, owners, deadlines, and approval milestones.
- Client communication. Serve as the primary contact for day-to-day coordination. Respond professionally, provide proactive updates, clarify requests, and ensure clients know what happens next.
- Internal routing. Give designers, video editors, advertising specialists, developers, and managers complete instructions and the materials they need.
- Deadline management. Monitor progress, follow up on outstanding items, track dependencies, and raise capacity concerns or potential delays early.
- Feedback and approvals. Consolidate client comments, clarify conflicting instructions, coordinate revisions, and secure approvals.
- Accurate project records. Keep assignments, priorities, schedules, files, feedback, and status updates current so the system provides a reliable view of all client work.
- Meetings and follow-through. Prepare agendas, lead coordination meetings, document decisions, and convert next steps into assigned tasks.
- Final delivery. Confirm that materials match requested specifications, use the correct versions, and reach the appropriate people on time.
- Expectations and scope. Communicate agreed timelines and bring scope changes to the appropriate manager before making new commitments.
- Workflow automation. Create logic-based workflows for task creation, assignments, reminders, approvals, and status updates. Identify opportunities to reduce manual coordination and improve accuracy.
Who You Are
- You bring 3–5 years of project management experience, preferably in a marketing agency, creative agency, consulting firm, or similar client service environment. And 2+ years of experience working with performing arts organizations, cultural institutions, ticketed experiences, etc.
- You have a Type A approach to organization and follow-through: proactive, detail-oriented, persistent, and accountable.
- You demonstrate exceptional verbal ability. You listen closely, understand complex requests, ask precise questions, and explain information clearly.
- You describe yourself as outgoing and highly verbal. You enjoy interacting with people, leading client calls, and picking up the phone to resolve questions.
- You are an excellent, cordial, and highly professional communicator, verbally and in writing.
- You build client confidence through responsiveness, sound judgment, and dependable follow-through.
- You can graciously reinforce deadlines and hold others accountable.
- You have strong experience configuring and managing platforms such as Hive, Asana, Monday.com, ClickUp, or comparable systems.
- You can design an effective project management structure, explain it clearly, and guide a team in using it.
- You think logically about processes and can translate recurring needs into clear triggers, conditions, actions, and exceptions.
- You independently manage multiple projects and competing deadlines in a fully remote environment.
Strongly Preferred
- AI tools and integrations: Experience configuring AI tools and connecting business applications through native integrations, Zapier, Make, or comparable platforms.
- MCP setup: Experience setting up MCP (Model Context Protocol) connections that allow AI tools to work with business applications.
- Automation troubleshooting: Ability to test workflows, diagnose connection issues, manage access appropriately, and verify that automations produce the intended results.
- Experience coordinating digital advertising, graphic design, video production, websites, or other marketing deliverables.
What Success Looks Like
Clients feel supported and informed. Team members have clear assignments and deadlines. Project records accurately reflect the work underway. Approvals and deliverables move on schedule. Leadership can quickly see priorities, workload, and risks. The systems you build make those outcomes repeatable as Mesa grows.
Compensation and Benefits
- $55,000–$62,500 annual salary, depending on experience and qualifications.
- Fully remote work.
- Blue Cross Blue Shield PPO medical coverage, with Mesa paying 50% of the employee-only premium.
- Dental and vision coverage.
- 401(k) with an employer match up to 3.5%, with participation available upon employment and employer matching contributions subject to one-year vesting.
- Unlimited paid time off and company holidays.
Benefits are subject to applicable plan terms and company policies.
