We need someone who can confidently handle customer calls while also staying on top of service follow-up, parts ordering, repair estimates, inventory, warranties, and administrative tasks.The right person will be highly organized, comfortable working in a fast-paced HVAC environment, and able to manage multiple priorities without letting details fall through the cracks.What You'll DoCustomer Service & SchedulingAnswer incoming customer calls professionally and efficientlyRespond to customer questions and service inquiriesSchedule and book HVAC service appointmentsAssist with booking additional appointments recommended by techniciansFollow up with customers regarding recommended repairs and service needsCommunicate with customers regarding appointment times, technician arrivals, delays, and schedule changesProvide excellent customer service, even during high-volume or stressful situationsService & Repair AdministrationReview and monitor parts-related emails and requestsPrepare and assist with repair estimatesFollow up with customers regarding outstanding repair estimates and recommended workAssist technicians and management with parts and repair-related needsComplete transfer requests and pull necessary parts for techniciansRequest and monitor the return of unused equipment or parts that were orderedParts, Purchasing & InventoryOrder parts and materials for the warehouse and service departmentOrder equipment and materials needed for installation jobsEnter purchase orders for parts ordered and inbound equipmentAssist with plumbing repair quotes and parts ordering as neededHelp manage inventory, including:Cycle countsQuarterly inventory countsStock managementParts replenishmentReplenish technician truck stock and pull parts for technicians as neededWarranty AdministrationHandle the warranty process for repairsVerify warranty coverageOrder warranty partsFile and process warranty claimsTrack applicable parts and labor warrantiesMaintain accurate warranty documentation and follow-upAdditional SupportAssist with fleet management as neededMaintain accurate customer, job, parts, and service informationCoordinate with technicians, management, warehouse, and other departmentsHelp keep service operations organized and moving efficiently throughout the dayWhat We're Looking ForHVAC, plumbing, or home-service industry experience strongly preferredServiceTitan experience is a PLUSPrevious experience with parts ordering, purchase orders, inventory, or warranty processing is highly preferredExperience handling a busy multi-line phone environmentStrong computer and data-entry skillsExcellent organizational skills and attention to detailStrong verbal and written communicationAbility to manage multiple responsibilities and changing prioritiesComfortable communicating with customers regarding repairs, estimates, and schedulingDependable attendance and stable work historyAbility to work effectively with technicians and office staffProfessional and solutions-focused when dealing with customersPay$18.00-$20.00 per hour, based on experience.Who Will Be Successful in This Role?This isn't a position where you'll only be answering phones.
