Overview of the Role

The Patient Intake Specialist plays a vital role in the referral process, overseeing benefit investigations while collaborating closely with patients and referral sources. This position ensures all documentation and insurance requirements are met for the successful authorization and administration of necessary products and services. Additionally, you will work with the Revenue Cycle team to assist with any billing issues arising during the intake process.

Key Responsibilities:

  1. Manage the benefit investigation process, including insurance verifications and prior authorizations, while accurately documenting all necessary administrative and clinical data.
  2. Educate and coordinate with referral sources on payor coverage and prerequisites, streamlining the patient treatment timeline.
  3. Continuously evaluate patient cases and identify gaps in the intake process to enhance patient experience and ensure accurate billing.
  4. Assist patients during their benefit investigation to foster a positive experience at BrookWell Infusion.
  5. Communicate efficiently with all third-party vendors, ensuring that accurate information is provided to uphold optimal billing practices.
  6. Collaborate with various departments throughout the intake process as needed.
  7. Manage intake claims through systems such as Docutrack and Weinfuse.
  8. Participate in the development and implementation of operational policies and procedures.
  9. Ensure compliance with Federal, State, and payor regulations in all department activities.
  10. Stay updated on insurance prerequisite requirements and communicate changes to clinics.
  11. Assist in training new intake coordinator staff, fostering a motivated and productive team environment.
  12. Identify opportunities to enhance internal efficiencies and potential revenue across clinics.
  13. Support other departments in promoting a patient-centered facility.
  14. Contribute to audits and quality assurance functions.
  15. Report efficiently to management or their designee, including participating in routine meetings and preparing reports as necessary.
  16. Take on additional projects and responsibilities as assigned by management.

Minimum Qualifications:

  • Bachelor's degree or equivalent experience.
  • Proficiency in computer skills, including MS Office and electronic health records.
  • Strong interpersonal skills with an ability to work well in a team setting.
  • Attention to detail and critical thinking abilities.
  • Excellent written communication skills.

Physical Requirements:

  • Regularly required to stand, walk, and sit, as well as to talk and hear.
  • Good hand-eye coordination and ability to lift at least 25 pounds.

Compensation: $16-18 per hour
