JOB PURPOSE:

This position is responsible for coordinating and managing freight and transportation services to ensure timely, accurate, and cost-effective shipment of products. The Logistics Specialist works closely with internal teams and external transportation partners to verify shipping information, prepare documentation, and support daily logistics operations.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Works collaboratively with team members, managers, and facilitators to promote logistics excellence.
  • Coordinates inbound shipments, including full truckload (FTL) shipments and returns.
  • Negotiates with carriers regarding quotes, pickups, discounts, and freight claims.
  • Processes warehouse orders, including picking tickets and order entry.
  • Creates shipments in the ERP system and enters all required shipping details, including PRO numbers and delivery timelines.
  • Communicates required shipping documentation to customers within established timeframes.
  • Schedules trucks for pickup, including both FTL and LTL shipments.
  • Coordinates outbound shipments and deliveries.
  • Prepares shipping documents, including export documentation and related internal records.
  • Works closely with the shipping department to support daily shipment activities.
  • Collaborates effectively with Customer Service Account Managers.
  • Maintains regular and predictable attendance.
  • Works cooperatively with others to meet departmental objectives.
  • Maintains a clean work environment.

OTHER DUTIES & RESPONSIBILITIES:
  • Interfaces with international freight forwarders and schedules container shipments.
  • Reviews daily shipment edit lists for accuracy.
  • Administers Hazmat shipments in accordance with regulations.
  • Traces, tracks and ensures compliance for proof of delivery requirements.
  • Maintains the shipping files and documentation.
  • Works directly with Bristol, Chatfield, and Highlands to assure order completion.
  • Completes customs documentation and certificates of origin.
  • Works closely with Quality Assurance on customer documentation requiring QA review.
  • Coordinates with Accounting regarding shipping-related invoicing.
  • Creates daily online UPS and FedEx shipments.
  • Works closely with internal and external contacts to ensure accurate and timely completion of job tasks.
  • Follows all departmental procedures to help ensure accuracy of shipping documentation.
  • Complies with all required safety regulations.
  • Performs month end closing activities as related to shipping.

QUALIFICATIONS: Experience, Competencies and Education
  • High school diploma or GED required.
  • Minimum of 5 years' experience preferred in a shipping or receiving environment.
  • Strong computer skills, including proficiency with Microsoft Office products.
  • Experience using ERP systems; NetSuite experience strongly preferred.
  • Ability to interact positively with transportation companies, providers, customers, and internal departments.
  • Strong organizational and time management skills.
  • Ability to Independently monitor and follow up on transportation progress.
