KNOWLEDGE AND SKILL REQUIREMENTS:

  • Proficient in Microsoft Office programs. familiarity with creating and editing website content and newsletter design/layout and video editing preferred
  • Ability to work within tight time frames and simultaneously manage several projects.
  • Excellent interpersonal, oral and written communication skills
  • Must be organized and extremely detail-oriented
  • Must be able to travel as needed
  • Must be willing to work weekends, long hours
  • Strong at prioritizing and executing in a fast paced environment
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

NON-EVENT TIME:
  • Assist and service local/regional media
    • Driving media and/or dignitaries to lead-up PR events, delivering cakes, credentials and media materials to outlets, updating media contacts (in excel and in MailChimp)
  • Work with Comms team to file and distribute media credentials for all events
  • Assist with community & school programs (K-12 & college) (Dale Jr scholarship and as assigned)
  • Assist with track tours, visiting travel writers, CVB and chamber tours, potential clients etc.
  • Secure speaking opportunities and panel discussion involvement for senior executives
  • Assist with promotions/programs including but not limited to driver appearances, corporate/season ticket holders and fan events, etc.
  • Assist with writing fact sheets and driver bios pertaining to events held at Bristol Motor Speedway (BMS) and Bristol Dragway (BD) as assigned
  • Assist with collecting materials, photos and posting of content for BMS Website, BMS Speedreads site, as well as souvenir programs.
  • Contribute content for Social Media
    • Assist with posting BMS content on Facebook, Twitter, Instagram etc., with a strong understanding of company message, policy, etc.
  • Assist communications team with tactic assignments during emergency situations.
  • Purchase and deliver thank you gifts & submit payment details to finance following BMS procedures
  • In charge of mailing all PR correspondence
  • Organize materials & develop sign-in and sign-out lists for (pop-up banners, lighting, sound system etc)
  • Collecting and returning courtesy cars, media shuttle vans and golf carts as directed for PR usage
  • Assist with set up, supplies and audio of PR events - in and out of Tri-Cities market
  • Performs additional duties as assigned by management.
EVENT OPERATIONS:

Participation in areas not necessarily position-related during event time include but are not limited to:
  • Ensure media facilities are prepped, stocked and properly functioning for NASCAR/NHRA events, as well as secondary events.
    • Office supplies, copier needs, set up info bins, put down media reserved seat signs, wipe down all coolers, workspaces and countertops
    • Wipe down radio rooms, photo room and PR room
    • Clean coffee pots in all areas, media center, press box and radio rooms
    • Verify phones are working in media center and press box
    • Check restrooms in media center and press box to ensure no maintenance is needed
  • Ensure media center is ready for NASCAR and NHRA press conferences and driver interviews.
    • Backdrops, sound, lighting, mult-boxes (dragway)
  • Purchase snacks and ice cream and stock media center and press box
  • Manage photo vests; Get photo vests cleaned; Stock media center with photo vest waivers, sign in book
  • Create sign in books for photo vests and food service
  • Create reserved signs for radio rooms as needed
  • Obtain and apply Media Shuttle decals to rental vans
  • Print out entry lists, fact sheets, media services docs, storylines docs and make copies for media center and press box info bins
  • Assist with media center & press box operations for both NASCAR/NHRA events
    • Assist media and public relations representatives with fulfilling requests, answers, copies made, prepare backdrops, sound and lighting for press conferences
  • Assist with community, political and celebrity appearances during NASCAR/NHRA events.
    • Interviews requested of politicians, visiting coaches, recording artists, etc.
    • Transport celebrities to each appearance via golf cart
  • Transport media members on golf carts from remote parking lots to gates for entry to media center and press box
  • Coordinate delivery of Victory Lane hats into media center from SMP and remove tags, stickers, cardboard, paper, etc and get hats ready for use and store in media center closet
  • Coordinate delivery of food services to media center and press box; assist with logistics of getting food into the media center and to the press box after delivery
  • Coordinate delivery of large drink orders to media center and press box; load in drinks prior to race weekend
  • Coordinate delivery of souvenir programs to suites and hospitality areas, also to BMS staff
  • Stock all coolers in media center and press box with drinks throughout race weekends
  • Assist with all NASCAR/NHRA credentials processing and issues that may arise during event time.
  • Ability to adapt to long hours and weekend work
  • Assist with developing photographer shot list and work with photographers on specific assignments, times, locations, etc.
  • Performs additional duties as assigned by management.
