Description of Work
The Customer Service Specialist position provides specialized administrative support within a defined program area, requiring advanced knowledge of processes, policies, and information systems. The role involves managing complex tasks such as data verification, report preparation, and records management to ensure accuracy and compliance with operational standards.

Work includes interpreting and applying program guidelines, coordinating information flow, and utilizing technology to support efficient operations. The position operates in a fast-paced environment where attention to detail and effective communication are critical for success.

Key Duties Include:
- Verify, compile, and reconcile data from multiple sources to ensure accuracy and compliance with program requirements.
- Prepare, review, and distribute reports and summaries for internal and external stakeholders.
- Maintain and update records in electronic and paper formats, ensuring proper organization and accessibility.
- Research and analyze information to support decision-making and resolve discrepancies.
- Process claims, applications, or related documents in accordance with established policies and procedures.
- Utilize office technology and software systems to manage data entry, reporting, and workflow tasks.
- Coordinate information exchange between internal teams and external partners to support program operations.
- Monitor and track program activities, identifying issues and recommending solutions to improve efficiency.
- Provide clear and accurate communication to staff, clients, and stakeholders through written and verbal channels.
- Support personnel administration tasks, including scheduling, documentation, and compliance with organizational standards.

Knowledge Skills and Abilities/Management Preferences
Salary Grade Range: $37,782.00-$66,120.00

Recruitment Range: $37,782.00-$54,328.00

  • Demonstrated experience compiling, reconciling, and analyzing data using spreadsheet and database tools to ensure accuracy and support program reporting.
  • Proficient in preparing and formatting reports and summaries for internal and external stakeholders, applying advanced skills in Microsoft Office applications to meet organizational standards.
  • Experienced in maintaining and organizing electronic and paper records, ensuring compliance with retention policies and accessibility requirements.
  • Skilled in researching and resolving discrepancies in program documentation and transactions, applying established procedures to deliver timely and accurate solutions.
  • Strong written and verbal communication skills with a proven ability to convey technical and procedural information clearly and collaborate effectively with diverse teams.
